Sample employee complaint procedure
We have a system that provides a two-way communications link-it is a confidential means to resolve work-related problems.
Turn to your manager or supervisor when you have a grievance or work-related problem. Discuss the situation with your manager or supervisor-often this will be all that is required to effectively resolve the problem. Some situations however, may require further action if a mutually satisfactory resolution is not reached.
If you are reluctant to discuss the problem with your supervisor or manager, face-to-face, there is a confidential alternative-experienced staff members will investigate the complaint and work out a solution. We encourage employees to use the complaint resolution system.
Access. The complaint resolution system is well publicized throughout our organization and there is easy access to it. Employees may contact they system by phone 24 hours a day. The staff will take calls during normal business hours. After hours, employees may leave a recorded message. A staff member will return the call during the next working day.
Complaint system representatives are available to take employee complaints at various organization locations. At headquarters, staff is available on the floor during normal business hours Monday through Friday. At remote sites, representatives are available by appointment only.
Employees may also register their work-related questions and problems in writing. Forms are available outside all employee cafeterias and other areas throughout the organization or through your HR office.
