Must all OSHA records be kept at the facility that they reflect?

Employers may maintain their illness and injury log at a place other than the establishment that the record reflects, on a computer or both if there is sufficient information at the place where the log is kept to keep the log up-to-date within seven calendar days of any recordable illness or injury and at each establishment there is a copy of the log that reflects separately the injury and illness experience of that facility, complete and current to within 45 calendar days.

You may keep the records for an establishment at your headquarters or other central location if you can:

  • Transmit information about the injuries and illnesses from the establishment to the central location within seven (7) calendar days of receiving information that a recordable injury or illness has occurred; and
  • Produce and send the records from the central location to the establishment within the time frames required, when you are required to provide records to a government representative, employees, former employees or employee representatives.
